Richie C Disco - Frequently Ask Questions and Terms and Conditions.

Richie C Disco Services Standard Terms and Conditions

ALL BOOKINGS MADE AND CONFIRMED BY RICHIE C DISCO SERVICES WILL SUBJECT TO THE FOLLOWING TERMS AND CONDITIONS:

1) Booking Confirmation / Deposit Payment

a) All our bookings are confirmed in writing with a Booking Confirmation being issued upon receipt of an agreed deposit amount. A Booking is not guaranteed until a deposit payment has been made and cleared to Richie C Disco Services.

b) Payment of a deposit will be taken as acknowledgement and agreement to the Terms and Conditions of Richie C Disco Services.

c) Deposit Payments are non-refundable in the event of cancellation.

2) Service Guarantee

a) We guarantee to provide a DJ and all associated disco equipment for the date and venue stated on your Booking Confirmation.

b) We guarantee the start time and finish times stated on your Booking Confirmation.

c) We guarantee to provide a replacement disco in the event of illness/accident etc..

d) We guarantee we will remain polite and professional at all times.

e) We guarantee a full refund in the extremely unlikely event that we are unable to provide our service as agreed on our Booking Confirmation in terms of the date, venue and start and finish time.

3) Payment Terms

a) As stated in Section 1, an agreed deposit amount will be required to secure your Booking with Richie C Disco Services. Until payment of a deposit is received we cannot guarantee your booking.

b) The balance that is still outstanding following payment of the deposit can be paid by the following methods:

i) Payment in full in cash on the night of the event prior to the start time directly to the DJ. Important Note: We DO NOT accept cheque payments on the day of the function unless agreed with Richie C Disco in writing in advance.

ii) Full Payment (cleared funds) to Richie C Disco Services by Bank Transfer or Cheque at least 5 working days prior to the event. We must received cleared funds prior to the function day to allow us to confirm safe receipt in advance of your function..

c) The deposit amount due will be agreed and stated prior to payment and is non-refundable.

d) The balance due for payment will be as stated on the Booking Confirmation issued by Richie C Disco Services.

4) Cancellation Policy

a) In the event that you wish to cancel your Booking with Richie C Disco Services you will be required to do so in writing.

b) As stated in Section 1, deposit payments are non-refundable in the event of cancellation.

c) If you give Richie C Disco Services less than 30 days notice of cancellation you will be required to pay 50% of the agreed outstanding balance. In the event of less than 14 days notice of cancellation, you will be required to pay 100% of the agreed outstanding balance.

d) In the unlikely event that Richie C Disco Services has to cancel (we stress this is extremely unlikely and would be as a result of exceptional circumstances) we would refund all money to you including the deposit.

5) Changes to performance times

a) If on the day of your event you decide that additional performance time is required by Richie C Disco Services (outside of the times stated on your Booking Confirmation paperwork) an additional fee will be required and due for immediate payment in cash prior to additional hours being agreed and performed.

b) Richie C Disco Services cannot be held responsible for delays in setting up due to prior events (Presentation or Wedding Breakfast overrun for example) which may result in a start time later than that stated on your Booking Confirmation.

c) In the unlikely event that Richie C Disco Services is delayed through their own fault and is therefore unable to set-up in time for the agreed start time we will offer to make up the lost time at the end of the night subject to agreement with the venue. We stress that this is extremely unlikely as we always allow ample time to ensure an efficient and completely reliable service.

6) Setting Up of Equipment

a) Please allow at least 1 hour for set-up of all Disco Equipment we provide.

b) An early set-up (in the morning prior to the commencement of Wedding Breakfast for example) can be organised. This must be requested in advance and an additional charge may be incurred to take into account additional time and mileage etc.

c) We will require an area at least 8ft wide x 6ft deep (from the wall to the dance floor area) to set-up in. Note: We can set-up in smaller venues, but will need to know and discuss in advance to ensure the smaller set-up is used and the area is suitable and safe for our requirements.

d) We will require use of at least 2 mains power sockets. If using uplighting/LED Dance Floor, etc. additional sockets will be required.

e) We will need to be advised if there is any difficult access into and out of the venue. This is necessary to ensure we have suitable equipment and labour in areas with particularly difficult access. If we are not advised in advance of difficult access, we reserve the right to refuse entry if it is deemed dangerous or unsuitable. Please note: Wherever possible, we will try and visit a venue prior to your event to check access, etc.

f) We will need to know in advance if your event is to be held in a marquee. We will require a flat/solid/clean/dry surface of the size stated above and watertight overhead / side cover with a mains power supply or use of a generator suitable for use with disco equipment and surge protection.

g) We will not set-up outside/open air, unless agreed in advance and of course this will always be subject to suitable and stable weather conditions.

h) We will need at least 1 hour to remove all equipment from the venue at the end of the night and allowance must be made for this and agreed with the venue by the client.

i) We will set-up and dismantle our equipment following Health and Safety guidelines and consider the surrounding environment and people in the area when doing so to avoid wherever possible any kind of disruption or disturbance. We cannot be held responsible for any horseplay or interference by others in the area we are setting up in that may result in accidental damage or personal injury. We politely request that the set-up area is kept clear from all parties other than those employed by Richie C Disco Services during equipment set-up and breakdown to reduce any possible risk.

7) Withdrawal of our Services

a) In the case of verbal or physical abuse, Richie C Disco Services reserves the right to withdraw its services and stop any further performance immediately. In these circumstances full payment will still be due.

b) In the case of any damage to equipment caused by physical violence or horseplay, we may be forced to stop our performance. Full payment will still be due. Any damage caused to equipment may be subject to full reimbursement of costs being asked for from the client and issued to Richie C Disco Services.

c) Richie C Disco has the right to ask for immediate removal of any person deemed to be threatening or abusive and reserves the right to stop performance if this is not adhered to. Full payment will still be due.

8) Children's Party Terms

a) A parent/guardian of the child who the party is for must be in attendance at all times during the function and will be responsible for the supervision and general behaviour of their child and the other guests in attendance.

b) It is the responsibility of the parent/guardian to ensure the children in attendance do not touch or interfere with the equipment we set up and are kept at a safe distance during the set up and removal process. We will of course take all necessary measures to reduce the risk.

9) Use of Smoke and Bubbles

a) If you are having a smoke or bubble machine for your party, it is the responsibility of the client to check that that the hall allows use.

b) A smoke machine can only be used in a hall that does not have an alarm system that will be affected by use and is provided subject to agreement with the venue / hall manager in advance.

c) A bubble machine can only be used in a hall that does not have carpets and has a suitable floor surface and is always subject to agreement with the venue / hall manager in advance.

d) Use of a bubble machine can create a slip hazard. All necessary actions will be taken to try and prevent slips and falls, but we cannot be held responsible for any personal injury that may arise. To help reduce the risk we will always:

i) Ask you not to run in the area where the bubble machine is located.

ii) Annouce at least once on the microphone that there is a risk of slipping.

iii) Wipe the floor at regular intervals to reduce the risk.

iv) The bubble machine will not be used for the entire time. It will be turned off at regular intervals to reduce the risk and help prevent the build up of fluid in the area and allow drying time.

10) DJ Equipment use by others

a) Our equipment and any associated items are not available for use by other performers or persons other than those working on behalf of Richie C Disco. Use of our equipment by others must be requested and agreed in advance of the function date.

b) Our equipment is suitable only for the purpose of playing music and announcements. We use specialist DJ equipment and we are not set up for singing or for bands to plug in their instruments etc. Our radio microphone is available for use for speeches and presentations and its use must be agreed in advance.

c) We are not responsible for providing a sound system, microphone or playing music for a singer or band unless agreed in advance. Additional costs will be advised and agreed in advance to ensure a suitable system is provided if this is a requirement. It is however highly recommended that you book a singer or band that provides their own equipment.

d) We can only set up our equipment in a suitable size space. If we are sharing our performing space with a band or singer, the client and venue must give fair consideration to allow enough room for both parties to set up safely.

We reserve the right to change these terms and conditions at any time and without prior notice.

IMPORTANT NOTICE: CORONAVIRUS (Covid-19) Terms Update (NOT currently active)

There are no restrictions currently in place so these terms do not currently apply in. If we are ever put into a lockdown situation again we will do our utmost to be as flexible as possible and the option to reschedule is offered and allows your existing deposit payment to be transferred to a new rescheduled date (this must be within 6 months of your original booking date and only applies if governement lockdown restrictions are in place). This is offered on the basis that it will be vital that you check our availability prior to booking your venue etc. for a new date - we also ask you to stick with the day of the week and start and finish time your original date was booked for, for example, if you have a children's party booked for a Sunday afternoon, you cannot transfer it to a Saturday night.

If you decide to cancel your booking completely we will return your deposit to you with an admin fee deducted.

Frequently Asked Questions

How much do you charge?

Each party is different taking into account location, set-up, access and timings etc. We price each enquiry individually giving consideration to all your event requirements and the venue location etc. We can give you an instant quote, just make an enquiry with us. You can phone, email, text or fill out our online form via our website and we will get straight back to you with a free, no obligation quotation.

How do I book you?

Booking us is easy! All you need to do is give agreement to the price we quote and pay an agreed deposit amount. This can be paid by cheque or bank transfer, whichever is easiest for you. The deposit payment secures the date for you and is non-refundable. On receipt we issue you with a Guaranteed Booking Confirmation. The balance owed will be due for payment in cash on the day or bank transfer in advance (cleared funds). It really is as easy as that!

How long do you need to set-up your equipment?

We say to allow approximately 1 hour for us to set-up. This can vary slightly depending on parking, access, size of venue etc. We offer the option to set-up our equipment early if required in order to avoid any disturbance during a Meal/Wedding Breakfast/ Presentation prior to the start of the disco. Please just mention this at the time of making an enquiry with us so we can quote accordingly.

Can you provide background music during our meal?

Yes, we can provide background music during your meal. We can also provide radio microphones for speeches or presentations if required. Please mention this at the time of making an enquiry with us and we will advise the applicable charge.

What does your price include?

Our price includes a professional and experienced DJ. Full mobile disco set-up with quality sound and lighting system to suit the size of the venue. As standard our price allows for arrival/set-up approx 1 hour prior to start time and approx 1 hour to pack away at the end of the night. A separate price will be given for any additional requirements such as early set-up, background music during afternoon Wedding Breakfast, etc.

What sort of music do you play?

The easiest answer to this question is to say, whatever you would like to hear. We always speak to you prior to your function to establish what sort of music you like and give you the opportunity to send over a list of requests in advance. Equally we discuss with you what you do not like. We take this information to get a good idea of what you want and build upon that to create the perfect playlist and ensure you hear the music you like best. We always carry a large variety of music and can cater for all age groups and tastes. We have the experience to read a crowd and will play what is appropriate for the occasion and age groups if you just want to leave it to us.

What will my DJ wear?

We will always wear what is appropriate for the occasion and we will never turn up to your special occasion or event looking scruffy! As standard we will wear black trousers and a smart shirt at the very least, but we are open to wearing suit and tie, bow tie, fancy dress etc. We want to make a good impression on you and your guests and will dress according to your requirements and to suit the occasion.

What happens if your equipment fails?

We only have top quality and reliable equipment so this is very unlikely, but to be completely prepared we carry back-up equipment to make sure you night can continue in the very rare event of any sort of equipment malfunction. Our equipment is PAT Test Certified to make sure it is completely safe and to give you extra peace of mind.

Do you have Public Liability Insurance?

Yes, we are fully insured. If your chosen venue requires a copy of the Certificate we can provide them with a copy as required.
